Certificate of Destruction & Serialized Asset Reporting

A certificate of destruction is a formal document confirming that specific equipment or media was destroyed: when, how and by whom. On its own it is a summary. Serialized reporting is the device-level evidence behind it. USACA Group provides both, so every data-bearing device can be traced from pickup to destruction.

Who this service is for

Compliance, information-security and audit teams, IT asset managers and procurement staff who need evidence that retired equipment and data were handled properly, and who have received pallet-level paperwork that auditors would not accept.

The documentation behind an auditable IT disposal: a certificate for the file and a serial-level report that proves it.

What you receive

  • Certificate of destruction

A signed summary confirming that the listed media was destroyed, with the date, destruction method and a reference to the supporting report. This is what most policies ask you to keep on file.

  • Serialized destruction report

The device-level record: each drive or data-bearing device by serial number and type, matched against your manifest, with the destruction method recorded for each.

  • Serialized asset inventory

For full equipment disposals, a report of every asset received, including make, model and serial, and its outcome: remarketed, harvested for components or recycled.

  • Chain-of-custody records

Seal numbers and custody handoffs from your location to USACA facilities, linking what left your site to what was destroyed.

  • Variance reporting

Any serials missing from, or not listed on, your manifest are flagged before the certificate is issued, so gaps are resolved rather than discovered in an audit.

How it works

A documented process, start to certificate.

  1. Step 01

    Agree the evidence

Before pickup, we confirm which documents you need and the manifest format to reconcile against.

  2. Step 02

    Seal & record

Containers are sealed at your location and seal numbers recorded.

  3. Step 03

    Scan on receipt

Each device is scanned at USACA facilities and matched to your manifest.

  4. Step 04

    Destroy & log

Media is destroyed at our facilities and the method is recorded per serial.

  5. Step 05

    Resolve variances

Differences between the manifest and what was received are reported to you.

  6. Step 06

    Issue documents

Certificate, serialized report and custody records are delivered together.
