Hard Drive Shredding Cost: What Drives the Price

The factors that set the price of a business shredding job — and how to lower it.

Short answer

There is no single price for business hard drive shredding. Cost is driven mainly by how many drives you have, whether they are loose or still inside servers and laptops, the reporting you need (a count vs a serial-by-serial log), and the logistics of getting them to the destruction facility. Resale value in the surrounding equipment can offset part of the cost. The only reliable number is a quote based on your actual inventory.

The factors that change the price

FactorWhy it matters
QuantityLarger volumes spread the fixed cost of transport, handling and paperwork across more drives.
Loose drives vs drives in equipmentDrives still inside servers, laptops or storage arrays must be removed first, which adds labour.
Media typeHDDs, SSDs and mixed media may need to be separated and handled differently.
Reporting levelA serial-by-serial log takes more work than a count, but it is what audits usually require.
Pickup and logisticsDistance, number of sites, packaging, sealed containers and access windows all affect cost.
TimingUrgent or after-hours collection costs more than a planned, consolidated pickup.
WitnessingArranging for your team to attend destruction adds scheduling.
Resale valueServers and newer equipment around the drives may carry value that offsets the service cost.

How to reduce the cost without reducing security

  • Batch drives into planned collections instead of many small pickups
  • Provide a serial list in advance so reconciliation is faster
  • Pull drives from equipment yourself if your team already has the access
  • Separate SSDs from HDDs before handover
  • Include the rest of the retired equipment so recoverable value can offset cost
  • Consolidate several sites into one mobilization where possible

The costs that don't appear on the invoice

The cheapest quote is not the lowest cost if it leaves you without usable evidence.

A price per drive that excludes serialized reporting, sealed transport or a certificate can create a larger problem later — an audit finding, a client questionnaire you cannot answer, or a lost drive with no record of where it went. Compare quotes on the same scope: custody, reporting, certificate and where destruction happens.

What to send for an accurate quote

  • Approximate number of drives, by type (HDD, SSD, other media)
  • Whether they are loose or inside equipment
  • Site address(es) and access constraints
  • Reporting required (count, serial log, certificate)
  • Target timeline
  • Any other equipment being retired at the same time
