Year-End IT Asset Disposal Checklist

Inventory, data devices, value check, booking early and keeping records.

Short answer

To dispose of IT assets before year end: list what is retired and where it is, separate data-bearing devices, check which equipment still has resale value, book collection early in Q4, and keep disposition records and certificates of destruction for your audit file. Starting in October or November leaves room before inventory counts.

The checklist

  • List retired equipment by location — closets, server rooms, warehouses
  • Record serial numbers or asset tags where possible
  • Separate drives, laptops, servers and other data-bearing devices
  • Flag recent equipment that may have resale value
  • Confirm who has authority to release the assets
  • Request collection early — Q4 calendars fill up
  • Keep disposition reports and certificates of destruction
  • Update the asset register and fixed-asset records

Check value before recycling

Recent laptops, servers and networking equipment can often be resold in commercial quantities. Equipment loses value the longer it sits, so evaluating it before year end usually recovers more than waiting. Older or damaged equipment typically only has recycling value.

Handle data-bearing devices separately

Drives and devices that held company data should be destroyed with serial-level records. USACA performs data destruction at its own facilities and issues a Certificate of Destruction. USACA commercial pickups start at one skid and every request is reviewed and confirmed in writing before collection.
